Your Content and Your Course

Course materials you upload are shared with your course.Students who take the same course at the same school with the same professor share one course space on Knovus. When you upload a file to a course, it becomes part of that shared course: other students enrolled in the same course can see the file's name, open the file, and study from the roadmap, knowledge points, study cards, and figures generated from it. Your materials are not made public and are not shared with other courses.

Knovus does not claim ownership of the materials you upload. You grant us the limited license described in our Terms and Conditions to process your materials and to make them, and the study content generated from them, available to students enrolled in the same course. We do not sell your uploaded content.

When our AI generates practice exams, study guides, or other learning content, it does so based on the materials uploaded to your course by you and your classmates. Knovus does not actively retrieve information from the internet or external databases.

How We Use Your Uploaded Materials

Our AI system is designed to generate content from the materials uploaded to your course, without referencing external sources. This means:

• Source-restricted generation: Our system is designed to reference the materials uploaded to your course when generating content. It does not actively retrieve information from the internet, external databases, or other sources.
• No model training on your content: We never use your uploaded course materials to train AI models or for any purpose beyond generating study content for your course.

Information We Collect

Personal Information

We collect the following types of personal information:

• Email Address: We require and collect email addresses for account creation and authentication.
• Profile Information: Full name, university affiliation, major, minor, academic year, and profile picture.
• Authentication Data: Google OAuth tokens and session information for secure login.

Educational Content

• Course Materials: PDFs, PowerPoint presentations, Word documents, and other educational files you upload. These are stored in your account and shared with the course you upload them to (see “Your Content and Your Course”).
• Website Content: Educational materials captured from websites through our Chrome extension at your direction.
• Study Data: Quiz responses, exam submissions, study progress, and performance analytics.
• Course Information: Course names, codes, descriptions, and syllabi.

Technical Information

• Usage Data: How you interact with our Service, including pages visited and features used.
• Device Information: Browser type, operating system, and device identifiers.
• Log Data: IP addresses, access times, and error logs for security and troubleshooting.

How We Use Your Information

We use the collected information for the following purposes:

• Service Provision: To provide, maintain, and improve our educational platform and AI-powered features.

We do not sell, trade, or rent your personal information or uploaded course materials. We share information only in the following circumstances:

• Students in Your Course: Materials you upload to a course, and the study content generated from them, are available to other students enrolled in the same course, as described in “Your Content and Your Course.”
• AI Service Providers: Your materials are sent to third-party AI providers (currently OpenAI and Google) to generate study content, under data processing agreements that prohibit the use of your content for model training or any purpose other than providing the Service.
• Infrastructure Providers: Your data is hosted on trusted, industry-standard cloud infrastructure providers for secure storage and processing. These providers are contractually obligated to protect your data and are prohibited from using your uploaded content for their own purposes.
• Legal Requirements: When required by law, court order, or government regulation.
• Safety and Security: To protect the rights, property, or safety of Knovus.ai, our users, or others.
• Business Transfers: In connection with a merger, acquisition, or sale of assets (with user notification).
• Anonymized Analytics: Aggregated, anonymized usage data (such as feature usage statistics and quiz completion rates) may be used for platform improvement. This data cannot be traced back to individual users or their uploaded materials, and it never includes the content of your uploaded course materials.

Data Storage and Security

Where Your Data is Stored

• Primary Database: User profiles, course data, and study progress are stored in secure, encrypted cloud databases.
• Chrome Extension Storage: Authentication tokens are stored locally in Chrome's secure storage.
• File Storage: Uploaded course materials are stored on secure cloud servers. Files you upload to a course can be opened by other students enrolled in that course.
• AI Processing: Your materials are processed through AI services governed by strict data processing agreements that prohibit the use of your content for model training or any purpose other than generating study content for your course.

Security Measures

• All data transmission is encrypted using industry-standard SSL/TLS protocols.
• Authentication tokens are securely managed and automatically refreshed.
• Access to personal data is restricted to authorized personnel only.
• Regular security audits and monitoring for unauthorized access.
• Compliance with educational privacy standards and best practices.

Chrome Extension Data Collection

Our Chrome extension collects and processes the following data:

• Website Content: Educational materials from websites you choose to capture.
• Authentication Tokens: Stored locally in Chrome storage for secure access.
• Active Tab Information: Only when you explicitly use the extension to capture content.

The extension only accesses website content when you actively use it to capture educational materials. We do not collect browsing history or access websites without your explicit action.

Your Rights and Choices

You have the following rights regarding your personal information:

• Correction: Update or correct inaccurate personal information.
• Deletion: Request deletion of your personal information, uploaded materials, and account.
• Opt-out: Unsubscribe from non-essential communications.

Data Retention

We retain your information for the following periods:

• Account Information: Until you delete your account or request data deletion.
• Course Materials: Until you ask us to delete them or delete your account. Removing a file in the app hides it from your own roadmap; because course materials are shared, the file and the study content generated from it remain available to other students in the course until you ask us to delete it. Upon account deletion, we take reasonable steps to remove your materials from our active systems in a timely manner. Materials may persist in encrypted backups for a limited period before being permanently purged.
• Study Progress: Until account deletion (to maintain learning continuity).
• Anonymized Analytics: Aggregated, anonymized usage metrics (not your uploaded content) may be retained indefinitely for platform improvement.
• Legal Requirements: As required by applicable laws and regulations.

Educational Privacy Compliance

As an educational technology platform, we are committed to protecting student privacy:

• We are committed to supporting institutions in meeting their educational privacy obligations and welcome discussions regarding data processing arrangements.
• Student educational records are handled with appropriate confidentiality.
• We do not use student data for advertising or commercial purposes unrelated to education.
• Uploaded course materials are shared only with students enrolled in the same course. They are never made public or shared with other courses.
• Users are expected to use the Service in compliance with their institution's academic policies and applicable intellectual property guidelines.

Your information may be transferred to and processed in countries other than your country of residence. We ensure that such transfers comply with applicable data protection laws and that appropriate safeguards are in place to protect your information.
